This Privacy Policy describes how Allowances API ("we," "us," or "our") collects, uses, stores, and shares information when you use our websites, application programming interfaces, Google Sheets™ add-on, and related products and services (collectively, the "Services").

This Privacy Policy applies when you:

  • Visit https://allowancesapi.com, or another website that links to this Privacy Policy;
  • Create or manage an Allowances API account;
  • Purchase a subscription;
  • Use the Allowances API or an API key issued by us;
  • Install or use the Allowances API Google Sheets™ add-on; or
  • Contact us for support or otherwise communicate with us.

How do we use Google user data? We use Google user data only to provide user-requested add-on functionality, return results to your spreadsheet, maintain the security and reliability of the Services, diagnose technical issues, prevent abuse, and comply with applicable legal obligations.

With whom do we share, transfer, or disclose Google user data? We do not sell Google user data or share it for advertising or data brokerage purposes. We may disclose information only to service providers acting on our behalf, when necessary for security or abuse prevention, when legally required, or in connection with certain business transactions as described in this Privacy Policy.


1. What Information Do We Collect?

Information you provide to us. We may collect personal information that you voluntarily provide when you register for or use the Services, purchase a subscription, or contact us.

The information we collect may include:

  • Email addresses;
  • Names, where provided for billing or account management;
  • Billing addresses and company details, including Tax ID if included;
  • Payment and transaction references; and
  • Information included in support requests or other communications with us.

Payment card information is processed by our third-party payment processor. We do not directly store complete payment card numbers.

Service and usage information. We may process technical and usage information necessary to operate, secure, and improve the Services. This may include request timestamps, API usage counts, error information, IP addresses, browser or device information, and security-related event information.

2. Google Workspace and Google User Data

The Allowances API Google Sheets™ add-on provides per diem and allowance lookup functionality within Google Sheets.

Google user data we access

Depending on the feature you use and the Google permissions you grant, the add-on may access information from the Google Sheet in which the add-on is being used. This may include cell values, formula inputs, or other spreadsheet data that you intentionally provide to or use with an Allowances API add-on feature.

We access Google user data only to the extent necessary to provide the functionality requested by the user and permitted by the OAuth scopes authorized by the user.

The add-on may process location, date, or other lookup parameters supplied through spreadsheet cells or formulas in order to retrieve applicable GSA, DSSR, DTMO, or other allowance and travel rate information and return the requested result to the spreadsheet.

How we use Google user data

We use Google user data only to:

  • Perform the lookup, calculation, or other add-on feature requested by the user;
  • Return requested results to the user's Google Sheet;
  • Maintain the security and reliability of the add-on;
  • Diagnose errors or technical problems;
  • Prevent fraud, abuse, or unauthorized use; and
  • Comply with applicable legal obligations.

We do not use Google user data for advertising, personalized advertising, retargeting, or interest-based advertising.

We do not sell Google user data.

We do not provide Google user data to data brokers, information resellers, or advertising platforms.

We do not use Google user data to determine creditworthiness or for lending purposes.

We do not use Google user data to create, train, or improve generalized artificial intelligence or machine learning models.

Storage and retention of Google user data

Google Sheets data processed by the add-on is used only as necessary to perform the user-requested functionality.

We do not create permanent copies of a user's spreadsheet content for the purpose of building data sets, user profiles, or databases of Google user data.

We may retain limited technical, usage, or error information when reasonably necessary to operate and secure the Services, diagnose failures, enforce usage limits, or prevent abuse. We limit retention to the period reasonably necessary for these purposes or as required by applicable law.

Where spreadsheet inputs are transmitted to our Services to perform a requested lookup, those inputs are processed for the requested functionality and are not used for unrelated purposes.

3. How Do We Process Your Information?

We process information for a variety of reasons, depending on how you interact with our Services, including:

  • To create and manage user accounts. We use account information to create and maintain your Allowances API account.
  • To authenticate users and provide access to API keys. We use your information to securely authenticate access to your account and Services.
  • To provide API, Google Sheets add-on, and other Service functionality. We process information as necessary to provide the features and functionality you request.
  • To generate and manage API keys. We use account information to issue and administer API credentials.
  • To track usage quotas associated with subscription plans. We process usage information to administer Service limits and subscription entitlements.
  • To process and administer subscriptions. We process account, billing, and transaction information as necessary to manage subscriptions.
  • To respond to support requests and troubleshoot problems. We may process information you provide to investigate and resolve technical or account issues.
  • To send administrative or service-related communications. We may send information about your account, the Services, or changes to our terms and policies.
  • To protect the Services from fraud, abuse, and security threats. We may process technical and usage information to maintain the security and integrity of the Services.
  • To comply with applicable laws and legal obligations. We may process information when necessary to meet legal or regulatory requirements.

We use personal information only for the purposes described in this Privacy Policy or as otherwise disclosed to you when information is collected.

4. How Do We Share, Transfer, or Disclose Information?

We do not sell or rent personal information or Google user data.

We do not share, transfer, or disclose Google user data to advertisers, advertising platforms, data brokers, or information resellers.

Data intentionally supplied to an Allowances API Google Sheets™ custom function, such as country, location, and date, is transmitted to the Allowances API to perform the API request requested by the user.

We may share, transfer, or disclose information, including API request data originating from the Google Sheets™ add-on where applicable, only in the following limited circumstances:

Service providers

We may use infrastructure, hosting, security, monitoring, and other technical service providers that process information on our behalf when necessary to operate, secure, or maintain the Services.

These service providers may process information only as necessary to provide services to us. They are not authorized by us to use Google user data for advertising, data brokerage, or their own independent commercial purposes.

Our payment processor may process billing and payment information necessary to complete transactions. Payment processors do not receive Google Sheets data or Google Sheets custom function request parameters from us for payment processing purposes.

Security and abuse prevention

We may disclose information when reasonably necessary to investigate, prevent, or address fraud, abuse, security incidents, or other threats to users or the Services.

Legal requirements

We may disclose information when we reasonably believe disclosure is required to comply with applicable law, regulation, legal process, or a valid governmental request.

Business transactions

Information may be transferred in connection with a merger, acquisition, reorganization, or sale of assets. Where Google user data is involved, we will comply with applicable Google API policies and obtain user consent where required.

Except for the circumstances described above, we do not share, transfer, or disclose Google user data to third parties.

5. Human Access to Google User Data

Our personnel do not access or read Google user data except:

  • When a user has provided explicit consent for us to access specific data in order to provide support or troubleshoot an issue;
  • When access is reasonably necessary to investigate fraud, abuse, or a security incident; or
  • When access is required to comply with applicable law or legal process.

Access, when necessary, is limited to authorized personnel with a legitimate need to access the information.

6. How Do We Keep Your Information Safe?

We use reasonable technical and organizational measures designed to protect personal information and Google user data against unauthorized access, use, alteration, loss, or disclosure.

Information transmitted between users and our Services is protected using secure network protocols such as HTTPS.

We limit access to systems and information based on operational need and use security controls designed to protect the confidentiality and integrity of information processed by the Services.

No electronic transmission or information storage system can be guaranteed to be completely secure, and we cannot guarantee absolute security.

7. Data Retention and Deletion

We retain personal information only for as long as reasonably necessary to provide the Services, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, and protect the security of the Services.

When information is no longer reasonably necessary for these purposes, we delete or otherwise dispose of it in accordance with our data retention practices.

You may request access to, correction of, or deletion of personal information associated with your account by contacting us at support@allowancesapi.com.

You may revoke the add-on's access to your Google Account through your Google Account's third-party connections or permissions settings. Revoking Google access prevents future access authorized through the revoked permissions.

8. Do We Use Cookies?

We use cookies primarily for session management, authentication, and essential security functionality.

Third-party service providers, including payment processors, may use cookies or similar technologies as necessary to provide their services.

9. Google API Services User Data Policy and Limited Use

Allowances API's use and transfer of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We limit the use of Google user data to providing or improving user-facing features that are visible and related to the functionality requested by the user.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

If we materially change how we access, use, store, or share Google user data, we will update this Privacy Policy and provide notice or obtain additional consent where required.

The "Last updated" date at the top of this Privacy Policy indicates when the policy was most recently revised.
